Managing a Seamless Event for 1,000 International Participants

Delivering a successful event for 1,000 university students from around the world requires meticulous planning, flawless logistics and outstanding operational coordination.

For a leading international cultural association, Sapori d'Italia designed and managed the final day of a European tour, combining outdoor activities, cultural discovery and large-scale event management into a single, seamless experience.

The challenge was to create an engaging programme for every participant while coordinating multiple activities, transportation and venue changes within a schedule of just five hours.

To ensure a smooth operation, the delegates were divided into two groups of 500 participants.

The first group travelled to Feriolo, where they explored the beautiful Toce Nature Reserve through a combination of cycling and guided walking experiences. Half the participants explored the reserve by bicycle while the other half followed a scenic walking route before exchanging activities halfway through the programme, allowing everyone to enjoy both experiences.

Meanwhile, the second group visited the magnificent Isola Bella, enjoying a guided tour of the Borromeo Palace and its world-renowned gardens.

The most demanding phase of the day came during the afternoon rotation. Five hundred delegates arrived in Feriolo by boat from Isola Bella at exactly the same time that another five hundred participants boarded boats for the return journey to the island, all using just two small piers. Careful planning, precise timing and close coordination between our team, the navigation company and local partners ensured the transition was completed safely, efficiently and without disruption.
